Privacy Policy

1. Who is responsible for this site

PetCalc is the controller for the personal data described in this policy. If you have a privacy question, email hello@petcalc.uk.

2. Personal data PetCalc may process

  • Newsletter sign-up data: the email address you submit, plus page-path and campaign metadata sent with that request.
  • Contact correspondence: your name, email address and anything you choose to include in your message.
  • Technical and security data: standard web server logs, device/browser information, timestamps, requested URLs and error records needed to run and protect the site.
  • Cookie preference data: whether you accepted or rejected optional cookies, stored locally on your device.
  • Optional analytics or advertising data: this only applies if you actively accept optional cookies and those tools are enabled on the site at that time.

3. How PetCalc uses that data

  • To deliver requested newsletter updates and manage subscriber records.
  • To respond to messages, correction requests and support queries.
  • To maintain the site, diagnose faults, prevent abuse and investigate security issues.
  • To remember your cookie choices.
  • To understand site usage or advertising performance, but only where optional consent-based tools have been enabled and you have agreed to them.

4. Lawful bases under UK GDPR

  • Consent: newsletter sign-up requests and optional analytics or advertising cookies.
  • Legitimate interests: securing the site, handling correspondence, troubleshooting errors and operating a reliable public website.
  • Steps at your request: dealing with a message you send asking for help, correction or information.

5. Cookies and local storage

PetCalc uses essential local storage to remember cookie preferences. Optional analytics or advertising technologies are not loaded unless you choose to allow them. Full detail is in the Cookie Policy.

6. Who PetCalc shares data with

PetCalc may use hosting, email delivery and technical service providers to operate the site and newsletter flow. Those suppliers only receive the data needed to provide their service. Data may also be disclosed where required by law, regulation, court order or to protect the rights, property or safety of PetCalc, users or others.

7. International transfers

Some service providers may process data outside the UK. Where that happens, PetCalc will rely on an appropriate lawful transfer mechanism such as adequacy regulations or approved contractual safeguards.

8. Retention periods

  • Newsletter records: kept until you unsubscribe or ask for deletion, plus a limited period to maintain suppression records where needed to avoid re-mailing someone who opted out.
  • Contact emails: kept only as long as reasonably necessary to deal with the matter, keep an audit trail of corrections or defend legal claims.
  • Security and server logs: retained for as long as reasonably necessary for stability, fraud prevention and incident investigation.
  • Cookie preferences: remain on your device until you clear them or use the site’s cookie settings function.

9. Your rights

Depending on the circumstances, you may have the right to request access, correction, erasure, restriction, objection, data portability, or to withdraw consent where processing depends on consent. To exercise a right, email hello@petcalc.uk.

10. Complaints

If you are unhappy with how PetCalc handles your data, please contact us first so we can try to resolve it. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk.

11. Children

PetCalc is written for adult pet owners. It is not intended to knowingly collect personal data from children.

12. Changes to this policy

PetCalc may update this page when the site’s data practices, suppliers or legal obligations change. The current version is always the one published on this page.
